Business Development team was wasting a lot of time manually producing and emailing contracts for signatures whenever a sponsorship item was purchased from the online store. Also, the team was having a hard time staying on top of sponsors that were non-responsive and took their time signing the contracts.
Zapier to the rescue!
We built a simple Zap that would fire each time any of the sponsorship items has been purchased. Zapier executed 2 simple actions:
Sent an action request to Docusign providing it with the name of the email of the signature contact and the template to be used for the envelope.
Created an Office365 task assigned to a business development team member responsible for the follow up with the reminder set to a specified number of days.
If the signature was not received in time, the reminder will ensure the follow up. A team member could then manually reset the reminder with the extension period, after contacting the sponsor.
Outcome: this simple automation saved hours of manual work each week and eliminated contracts that were falling through the cracks and never signed.
